S U M M E R F A I R
Our Summer Fair will be held on Saturday, 26th June 2010 at 11.00 a.m. – all welcome! Helpers are still required. Please leave your contact details in the Friends box by the office if you are available to offer any help.
Some members of the Circle of Friends cleared the wildlife garden which had become overgrown. We would like to make this an annual event and any help would be appreciated.

AGM Minutes from Meeting 11th February 2010

Naomi reported on the past year: The accounts closed showing £7000 profit . A cheque for £6000 was given to Mr. Gulley for school funds and was spent on enhancing the provision for children. Naomi added that the bank account now had an opening balance of £1817.86 and that the Disco, uniform sale and Xmas sale had raised £1026.00 in total.
Mr Gulley said the School struggles to stay in credit and funding into schools from the Government will reduce soon so more fund raising will be needed and essential to continue the extra work the school does.
Mr Gulley took this opportunity to thank Naomi for her hard work and gave her some cards from the School.
Naomi advised that the NCNPTA fee has been paid and also explained that if there was more than£10,000 in the bank we would have to be audited for the Charity Commission. She continued that the lottery licence has been renewed told us to look at NCTPTA as it is a wealth of info.
We need to re register for Yellow Moon and book Bags2School (Blue sacks) - Hannah has details for these as well as details for changing information for the Giving Machine.
Hannah mentioned to Mr Gulley the idea of getting the children to design a new logo as it was thought a fresh start was needed; he was happy for us to do this.
Naomi mentioned that she has a standard note to go out to find helpers and she placed this in the account ledger.
A date for the Mothers’ Day sale was booked for Thurs 11th March in the East Hall from 9am – 3pm, a timetable to go up in the staff room.
Naomi suggested we check the shed before we buy any new goods to see what is already available; we will need around 700-2000 items. Leaflet to go out (now done), carrier bags need to be bought from Bookers (Sam advised she can do this as she works nearby)and 5 tables set up the night before ready for next day.
On the day we get copy of timetable but leave one in staff room so teachers can check the times, we get the float from Mrs Newman, money bags should be in the shed/cupboard, after put any leftover items in playground for sale. Traditionally Nursery have kept their money and we supply the items for sale. We will carry this over for this sale but will change the system in future.
It is suggested we do the same for Fathers’ Day Sale.
If we pay in more than £1000 cash to the bank we need 2 people to take it. (Lloyds TSB).
We need to start organising the Summer Fair NOW!! As Mr Gulley was present at the meeting we checked the dates and proposed dates are 26th June or 3rd July 11-2pm. All contacts are in the listed in the cupboard – Doug Rowdon has a stall and gives good percentage to the school. Ray advised he knows an ice cream van and will try to get a deal, Naomi & Mr Gulley advised we look for 15% .
As work on the new classrooms should be finished in June and the field will be cleared, Leyla suggested getting a driving school at the fair.
Mr Gulley spoke about his Quiz Night which will take place on 27th March, 7.45pm for 8pm start. Mr Gulley writes the quiz question, we do leaflets, and arrange the raffle (cash prize, wine etc) £1.00 a strip. It was agreed that the cost would go up to £4.00 from £3.00 per person entry, 6-10 people per team and they bring any refreshments.
Sam suggested a memory stick was used to hold all the information for these events.
Leyla mentioned CRB checks and Mr Gulley advised volunteers do not pay. Naomi advised she is first aid trained.
When we get accounts and bank statements a copy must go to Mr Gulley (via Mrs. Newman) and the other copy is kept by the Treasurer with the accounts book. All expenditure needs to be logged with who was paid monies and why..
Mr Gulley mentioned the Leavers’ BBQ – he advised not to use Stir Fry Media (DJ) so an alternative DJ will be needed; Karen Newman arranges ticket sales etc. and helps at the event. The BBQ usually takes place the last Friday before Summer holidays (16th July) 7-10pm, the ‘Friends’ do BBQ – food, drink – DJ
Mr Capps may be willing to do the cooking again. There is a freezer in the kitchen for food.
Karen Newman holds the cheque book. Two signatures are required for each cheque. Mr Gulley, Mr. Capps and Mrs. Newman are signatories..
We discussed having a meeting on the last Thursday of every month to help maintain what’s going on and to keep up to date.
Wednesday / Thursday school is open late for extended school use if a later start time is required. It is suggested an agenda is arranged and adhered to.
Hannah spoke about the idea of the Friends taking control of the money to set our own targets and ask parents what they want the money spent on. Mr Gulley said this would be okay but advised that he needs £5,000 each year to use on essentials within the school.
